Operations Reconciliation Checklist
A practical sequence for checking whether operational records, handoffs, and evidence agree before you sign off on a result.
Define the record set
- Name the systems, spreadsheets, reports, or handoff artifacts that should agree.
- Choose the same reporting window for every source.
- Write down the expected owner for each source before comparing results.
Normalize before comparing
- Align dates, IDs, names, units, and status labels.
- Separate missing values from true zero values.
- Keep an untouched source copy so normalization is reversible.
Reconcile the joins
- Match records on stable identifiers first.
- Flag one-to-many and many-to-one matches instead of forcing them into one row.
- Record unmatched items as exceptions with an owner and next action.
Close with evidence
- Save the comparison output, exception list, and sign-off date.
- Do not mark an exception resolved without the evidence that changed its status.
- Keep the final decision traceable to the source records used.
